Setting up your B.R.O.
You do not need to be technical. This guide explains what each field means, what B.R.O. does with it, and gives examples you can copy and change.
Business information
Business Name: Enter the name you want callers to hear.
Call Summary Email: This is where B.R.O. sends the automatic summary after a call.
Website: If you have one, B.R.O. can read approved public pages and use that information when callers ask questions.
B.R.O. name and voice
Give your B.R.O. a first name that fits your business. Then use Preview Voice to hear the available voices before saving.
Tip: The name and the voice are separate. You can name your B.R.O. anything you want.
Opening greeting
This is the first thing callers hear. Keep it short, welcoming, and clear.
If you leave the greeting blank during initial signup, B.R.O. creates a standard greeting using your business name and B.R.O. name.
Anything else B.R.O. should know?
This is for important information that may not be on your website, or information you especially want B.R.O. to follow.
Good things to include:
- Business hours and after-hours rules
- Services you do or do not provide
- Service area
- Pricing rules or whether prices may be quoted by phone
- Discounts
- Appointment instructions
- Common questions and answers
- Special instructions for callers
Only enter information you are comfortable having B.R.O. use when speaking with callers.
Contacts, transfers, and direct messages
Add people B.R.O. is allowed to reach. A contact can be permitted for live transfers, direct-message email, or both.
If you allow transfers, enter a working phone number. If you allow direct email, enter a working email address.
What happens during a live transfer?
The caller hears a hold announcement and music while B.R.O. calls your contact. The contact hears: Press 1 to accept. Press 2 to decline. The caller is connected only after the contact accepts.
The contact's phone can ring for up to 90 seconds. Hold music continues while the caller waits and stops when the caller is connected or returns to B.R.O. If the contact declines, does not answer, or cannot be reached, B.R.O. resumes helping the caller and can take a message.
Website learning
B.R.O. reads public website pages and saves useful business information to your account. To update it:
- Open My B.R.O. Settings. If you are changing the website address, enter it and save your settings first.
- Under Website Knowledge, select Refresh Website Knowledge.
- Watch the live counter: “1 page read,” “2 pages read,” and so on. The button stays disabled while the refresh runs.
- Wait for “Website knowledge refreshed” and the final number of pages learned. The saved website-page total updates when the refresh completes.
The counter counts readable pages captured during this refresh, not a percentage of your whole website. B.R.O. checks up to 15 page addresses on the same site; some pages may be skipped or contain too little readable text.
A successful refresh replaces the previous website-derived knowledge. Information you manually enter stays in your account. If no readable pages are found, your existing knowledge is kept.
If a refresh cannot read everything: Public text works best. Pages behind a login, downloadable documents, and text that only appears after a page's scripts run may not be captured. Add missing hours, services, prices, policies, or instructions in Anything else B.R.O. should know?
If the website cannot be read: A timeout means the site did not respond in time. Some sites refuse automated reading; others may be temporarily unavailable. Check the address and try again later, or enter important business details manually. These failed reads keep your saved knowledge.
If the connection is interrupted: Reload Settings and check the saved page total before trying again. If another refresh is already running, wait briefly and try again.
Website information and the information you manually enter are kept with your own customer account.
Leads, appointments, and calendar
After you sign in, open Leads & Calendar from your dashboard. This is your business-only workspace for new leads and appointment requests.
Public booking link: Every business receives its own private booking link, such as app.brohandlesit.com/book/0004. Share that link on your website, social pages, or messages. A customer can request a time; requests stay pending until you confirm them.
Confirming a service: When you confirm the appointment, you can add the name of the technician, barber, landscaper, or other person performing the service, plus notes for changes or special instructions. If the customer provided an email, B.R.O. sends their confirmation or update.
Google Calendar: In the workspace, select Calendar connections and connect the business Google account. Confirmed B.R.O. appointments then sync to that account's primary Google Calendar. Each B.R.O. business connects its own calendar separately.
More calendar choices are coming: Google Calendar is the live example today. B.R.O. will release additional calendar connections in future updates, following the same simple process: choose your provider, sign in securely, approve access, and select where confirmed appointments should appear.
Tip: Use the dashboard menu when signed in. The public B.R.O. site does not expose one company's calendar or customer data.
Dashboard login
Create a username and a password of at least 10 characters. You will use these at the customer login page to see your dashboard and change your B.R.O. settings.
Do not share your dashboard password with the B.R.O. Setup Helper.
Plan limits: minutes, numbers, and contacts
The plan levels are designed around how much of your phone operation B.R.O. needs to handle.
Business numbers can represent separate departments, locations, campaigns, or business purposes.
Contacts are people B.R.O. may transfer callers to or notify directly.
The higher limits matter when a company grows beyond one main phone line or needs B.R.O. to reach a larger team.
Monthly or annual billing
Choose your billing option during signup. Monthly subscriptions are billed each month. Annual subscriptions are billed upfront for a year at the price of 10 months: Starter $690/year, Business $1,190/year, and Pro $1,990/year. Included minutes refresh each calendar month.
Use Manage Billing on your dashboard to open the secure billing portal for your payment method and subscription. If checkout was interrupted, use Finish Checkout to resume.
Phone activation
After creating your account, complete secure subscription checkout. Phone-number setup begins after your payment is confirmed.
B.R.O. looks for a number using your requested area code and preferences. If your requested number is unavailable, your dashboard may offer available alternatives. Select one of the offered numbers to activate it. Availability can change, so a specific number is not guaranteed.
Your assigned B.R.O. number appears on the dashboard. Activation may take a little time; check the displayed status and place a test call once it is ready. You can also forward your existing business number to your B.R.O. number using your current phone provider's forwarding instructions.
Still unsure?
Use the Need help? button on the signup or settings page. The B.R.O. Setup Helper can explain fields in plain language and give examples. It does not know your password and will not change account settings for you.
